What we keep when you write about a mill

What we collect

The visit form asks for your name, email address, the chart commission you have in mind, the mill district, an optional visit date, and a message. We also keep email and telephone correspondence about the same commission, deposit records, and, when you give them, the names of clerks or supervisors who will sit with the book. Mill production figures in the books are the mill’s business information; we treat them as confidential under the terms, and we do not use them to build a marketing list.

Why we use it

We use these details to answer you, to arrange a visit, to perform the commission, to issue a receipt, and to handle a refund if one is due. The legal bases we rely on are steps toward a contract, performance of a contract, and legitimate interests in running a small chart studio — for example, knowing which district a visit is in. Where Thai law requires consent, we ask for it separately and you may withdraw it.

Retention

Inquiry notes that do not become a commission are kept for twenty-four months and then deleted or reduced to a district and a date with the name removed. Commission files, including the fee note and correspondence, are kept for five years after hand-over because tax and dispute questions in Thailand can arise in that window. Consent records for this website are kept until you clear them or for one year, whichever you do first.

Your rights

Under the Thailand Personal Data Protection Act you may ask to access the personal information we hold about you, ask for a correction, ask for deletion where the law allows, ask us to restrict or object to certain uses, and ask for a copy in a portable form where that right applies. You may lodge a complaint with the Personal Data Protection Committee. To exercise a right, write to hello@cognitweave.click. We may need to confirm you are the person the note is about.

Sharing and international transfers

We do not sell personal information. We share it with a bookkeeper in Thailand when a receipt or refund requires it, and with the bank that clears the deposit. Email and website hosting may be operated from outside Thailand. Where that happens, the host processes the message only to deliver it, and we ask that inquiry mail not be used for the host’s own advertising. Fonts on this site are requested from Google’s font service; that request sends your IP address to Google. See the cookie note.

Security

Paper working copies of mill books stay in the studio and are not left in a weaving hall overnight once we have finished the reading. Digital correspondence is limited to the studio mail account.
